Add and Organize Contacts in Pulse Digital Labs
How do you add and organize contacts in Pulse Digital Labs?
Open Contacts and search for an existing email address or phone number first. Add a new record only when no match exists. Save the person’s details, apply a consistent tag, add a note, and assign the next action. Reopen the record to confirm your changes.
The Problem
Customer details end up scattered across email, spreadsheets, and notes. When someone calls or submits an inquiry, you spend time searching for their information instead of helping them. Duplicate records and unclear labels make follow-up harder.
Here's How to Organize Your Contacts
In this tutorial, you'll create a contact record, add useful details, apply a simple tag, and practice finding and updating the record. You'll finish with a repeatable way to keep your customer information organized inside Pulse Digital Labs.
Before You Begin: Choose a Simple Contact System
Take five minutes to write down the information you need for every new inquiry. Start with name, email or phone number, source of inquiry, and next action. Then choose two or three tags that describe your contacts, such as New Lead, Existing Customer, or Referral. Use a test contact with an email address you control while following this guide.
Step-by-Step Implementation
Step 1: Open Contacts
Sign in to your Pulse Digital Labs account.
Select Contacts from the left navigation.
Open the contact list, often labeled Smart Lists. This is where you can search and review contact records.
Step 2: Check for an Existing Record
Use the search field to look for your test email address or phone number.
If a matching contact already exists, open it and update it rather than creating another record.
If no matching contact exists, select Add Contact or the add-contact button shown in your account.
Checking first reduces duplicate records and keeps conversation history in one place.
Step 3: Add Contact Details
Enter the test contact's first and last name.
Enter an email address and, if appropriate, a phone number.
Complete any other fields relevant to your business.
Save the contact.
Example: A landscaping company might record a prospect's name, phone number, and email, then note that the inquiry concerns weekly lawn service. Keep sensitive information out of general notes unless it is necessary and appropriately protected.
Step 4: Apply a Useful Tag
Open the saved contact record.
Find the Tags area.
Choose an existing tag or create a clear new tag if the interface offers that option.
Apply New Lead to the test contact and confirm it appears on the record.
A tag is a label used to group contacts. Use consistent names. For example, avoid creating separate tags called “New Lead,” “New Leads,” and “Lead-New” for the same purpose.
Step 5: Add Context and a Next Action
Find the notes area in the contact record.
Add a short note explaining why the person contacted your business.
Record the next action and who is responsible. If your account uses tasks, create a follow-up task with a due date.
Save your changes.
Example note: “Asked about weekly lawn service on October 17. Send service details and follow up next business day.”
Step 6: Find and Update the Contact
Return to Contacts.
Search by the test contact's name or email address.
Open the record and confirm the details, tag, and note are present.
Change a nonessential detail, save it, and reopen the record to confirm the change persisted.
Check Your Results
Your test is successful when one contact record appears in search results and shows the correct name, contact details, tag, and note. If you created a task, confirm its due date and assignment. Check that a second record was not accidentally created for the same person.
Troubleshooting
I can't find my contact
Search by email address or phone number instead of name. Clear any active list filters, then search again. Confirm you saved the record.
I see two records for the same person
Compare the email addresses and phone numbers before making changes. Review both records for notes, conversations, and opportunities. Use your account's available duplicate-management process rather than deleting a record without checking its history.
My tag is missing
Reopen the contact and check the Tags area. Make sure you selected the intended tag and that it was applied to the record. Refresh and check again.
I don't see a field mentioned in the tutorial
Contact record layouts and custom fields vary with account configuration. Use the equivalent field available in your account and consult the Pulse Digital Labs Help Center for additional guidance.
What to Improve Next
Once you are comfortable creating and updating contacts, build a simple lead capture form so new inquiries enter your contact list automatically. Then create a sales pipeline to track each lead's progress. Keep your tag names consistent as your business grows.
